  • The Administrative Assistant plays a key role in supporting the operational efficiency and success of our organization. This position is ideal for an individual who thrives in a dynamic, fast-paced environment and enjoys managing a variety of tasks simultaneously. The Administrative Assistant will handle day-to-day administrative duties, support departmental needs, and ensure smooth communication across teams. This position requires a detail-oriented individual with strong organizational skills, excellent communication abilities, and a proactive mindset to contribute to the overall success of the business.

    Responsibilities

    • Providing general administrative support to appropriate personnel, including managing schedules, handling correspondence, and preparing reports and presentations.
    • Organizing and maintaining filing systems, both physical and digital, ensuring documents are easily accessible and up to date.
    • Coordinating meetings, appointments, and events, ensuring all logistical details are handled efficiently.
    • Assisting with the preparation of training materials, reports, and other documentation as required.
    • Managing office supplies and ordering materials when necessary.
    • Assisting in data entry and managing databases, ensuring accuracy and timeliness.
    • Supporting the coordination of internal and external meetings, including booking venues, preparing agendas, and distributing meeting minutes.
    • Ensuring all administrative procedures and company policies are followed.
    • Assisting in travel arrangements, including booking flights, accommodation, and transportation.
    • Performing other administrative duties and tasks as assigned by management.

    Requirements

    • Previous administrative experience, preferably in an office.
    • Strong organizational skills with the ability to prioritize tasks and manage time effectively.
    • Excellent written and verbal communication skills.
    • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and general office equipment.
    • Ability to work independently and as part of a team.
    • Exceptional attention to detail with a proactive approach to problem-solving.
    • Ability to handle confidential information with discretion.
    • Strong interpersonal skills, with the ability to interact effectively with staff, students, and external stakeholders.
    • Ability to adapt to changing priorities in a fast-paced environment.
    • A positive attitude with a focus on delivering excellent customer service.
    • Must be legally eligible to work in the United States without restrictions.
    • Continent on employment, all candidates must pass a drug screening and background check. TSA background check and badging is also required for your role.

    • Salary: $40,000 to $47,500 annually
